Filtering Lists and Records

The lists displayed in MC Express for Work Orders, Assets, and Inventory (Parts) initially return records that match the name of the list. For example, the My Open Work Orders list returns all open work orders assigned to you and the All Closed list returns all closed work orders. Each of these lists are already filtered to any specified Repair Center or Shop criteria defined on your Settings page.

The lists can be thought of as global filters that serve as the base for any additional defined criteria. Once a list has been selected, the Filter button can be used to specify further criteria to limit the list results.

Filter criteria is additive. As you specify more criteria, the resulting list will have fewer results. As an example, the All Open (Not Complete) list might return 200 work orders. If you added criteria to specify that you only want to see records that were assigned to a specific individual, the list might shorten to 25 work orders. If you then specified that you only wanted to see records with a specific value in the Reason field, the list might shorten to 5 work orders.

The active filter or list appears on the gray header bar at the top of your screen. If you want to change the global filter before applying any specified criteria, tap the header bar to choose a different option.

ClosedFilter a List

You can specify as many criteria as is necessary to filter records. You can add criteria for numerous fields, including any custom fields specified for use by your organization.

  1. Tap the Filter button on the gray header bar.

    The Filter page opens.

    The fields that can be used to filter the list are displayed in alphabetical order in the Select Field field.

  2. Select the field you want to filter against from the Select Field field.

    The operators that display depend on the type of field you select.

  3. Select the operator you want to use from the second field.

    Depending on the type of operator you select, a third field may appear. This third field is used when you want to specify a value to filter against.

    Use the is or is not operator:

    1. Select is or is not from the second field.

      The lookup for the field opens.

    2. Select the values you want to filter against.

    3. Tap the Apply button.

  4. If necessary, select or enter the value you want to filter against into the third field.

  5. Repeat steps 2-4 until you have applied all your filters.

  6. Tap the Apply button.

    Your results display in the list. The filter criteria you have specified will remain in effect until you select another filter option from the List or Home page.

ClosedFilter Operator Behaviors

The operators that display depend on the type of field you select. A field may have one or more of the following operators:

  • Is or Is Not: Opens a lookup where you can choose one or more options.

  • Contains: Allows you to filter against a text value.

  • Is empty or is not empty: Allows you to filter records which either contain or do not contain a value in the selected field.

  • Is Within: Provides you with a quick method to choose a predefined date range, choosing from options such as Current Week, Current Month, Year to Date, Last 30 Days, and so on.

  • Is Between: Provides two date fields to specify a date range.

  • Greater Than or Less Than: Allows you to search for records whose field value is greater or less than the filter value.

  • Yes or No : Allows you to search for records where the field can have either a Yes or No (true or false) value.

ClosedRemove Filter Expressions

  • To remove a filter expression, tap the Remove button to the left of the field name.

  • To remove ALL expressions defined on the page, tap the Clear All button on the blue footer bar.

ClosedNo Records Returned?

If no records are returned, check for the following issues:

  • Global Filter: Make sure the global filter is set correctly. Any filter criteria you set apply to records that are already being filtered by the global filter definition.

    For example, if the global filter is set to My Work Orders, the criteria you enter only applies to your open work orders.

  • Simple Error: Check to make sure that the criteria has been entered correctly. An incorrect phrase or number could have been specified.

  • Conflict between Criteria: Verify that the criteria expressions entered do not conflict. Remember, the results must meet all criteria specified.

  • Repair Center or Shop filtering: Any default Repair Center or Shop filtering that is defined on the Settings page is also in effect. If you want to broaden this filter, you must change your settings.

  • System Administrator settings: Any Repair Center or Accessible Location restrictions that have been defined by your System Administrator are in effect.
